ScoreFrame Club Terms

For clubs and other sports organizations that buy ScoreFrame team licenses. Last updated October 30, 2026 ยท Version 2026-10-30.

Club licenses aren't offered to K-12 schools yet. If you're a school, please contact us first.

The short version

  • Your organization buys licenses for a number of teams for a period of time. Every coach and manager on a licensed team gets ScoreFrame Pro on that team.
  • Licenses don't renew by themselves. We remind you before they end.
  • Card and bank payments activate your licenses right away. Paying by invoice covers up to 3 teams until the invoice is paid.
  • Your rosters, schedules, stats and team pages are yours. Videos live on your own YouTube channels.
  • We hold only players' names, numbers, positions and stats; outside a team's own staff, players show as first name and last initial. We don't host photos or video.
  • Videos live on YouTube. Whoever owns the YouTube channel is responsible for its videos, their privacy settings and what's in them.
  • No automatic refunds. We look at refund requests case by case and may refund part of a license.
  • When licenses end, pages stay up read-only for a year, then your data is kept six more months for download before it's deleted. After a trial with no purchase, it's kept 60 days. We email you before each step.

1. These terms

These Club Terms are an agreement between Glavin Labs LLC, which makes ScoreFrame ("we", "us"), and the organization named on the club's account (the "Club"). They cover club licenses bought on scoreframe.app. ScoreFrame's general Terms of Service and Privacy Policy also apply to everyone who uses ScoreFrame; where they conflict with these Club Terms on a club matter, these Club Terms control.

2. Who agrees

The person who creates the club, or accepts these terms in the club setup, confirms that they are authorized to agree for the Club. That person is the club's director. The Club is responsible for the directors, coaches and managers it invites, and for keeping its director accounts secure. Club licenses are for organizations, not for personal or household use. We record which version of these terms each director accepted, when, and from which account.

3. Licenses

4. Free trial

A new Club can try ScoreFrame free for 14 days with up to 3 teams. Each organization gets one trial. If a trial looks like a repeat of an earlier one, we may ask for a card before it starts; the card isn't charged during the trial. When the trial ends without a purchase, see section 10.

5. Prices and payment

6. Invoices

A Club can ask to pay by invoice, for example with a purchase order. Invoices are due within 30 days. Until an invoice is paid, up to 3 of the Club's teams are covered; the rest are covered once it's paid. If an invoice is still unpaid 14 days after its due date, coverage from it stops until it's paid. We may agree in writing to cover all teams before payment, for example for a large club.

7. Ending and renewing

Licenses end on the date shown and don't renew by themselves. We email the director before coverage ends. The Club can renew, extend or add teams at any time on its club page.

8. Refunds

There are no automatic refunds. If something isn't working, contact us first: we'll work to fix it quickly. We consider refund requests individually and may refund part of a license, prorated by unused time and licenses. A full refund ends the licenses it paid for.

9. Your data

The Club owns the content it and its staff add to ScoreFrame: team names, rosters, schedules, scores, stats, notes and logos ("Club Content"). The Club gives us permission to store, process and display Club Content to provide ScoreFrame, following the Club's privacy settings. We don't sell Club Content. The director can download a copy of the Club's data at any time from the club page, and can also ask us for one.

10. Keeping and deleting data

11. Privacy settings

The director chooses who can see the Club's team pages, game pages and tournament pages: only followers a coach approves, anyone signed in to ScoreFrame, or anyone with the link. New clubs start at "anyone signed in to ScoreFrame". Each team follows the club setting unless it's made more private; coaches can make their own team more private but not more open. Note that anyone can create a free ScoreFrame account, so "signed in" limits casual sharing and keeps pages out of search engines, but it is not the same as approving each person.

12. Players and children

ScoreFrame stores only what staff enter about players: name, jersey number, position and game stats. We don't store player photos or video. Anywhere a player can be seen by people outside the team's own staff and approved followers, ScoreFrame shows only their first name and last initial; the full name is kept separately and shown only to staff and approved followers. Club teams often include children, so the Club confirms, when it accepts these terms, that it has the permission it needs from parents or guardians to list its players and to record and stream its games, and it will remove a player's information when a parent asks. A parent or guardian can also ask us at support@scoreframe.app; we act within 30 days and tell the Club. ScoreFrame accounts are for people 13 and older; players' information is entered by Club staff, not by children.

13. YouTube and video

Video is not hosted by ScoreFrame. Games are streamed and stored on YouTube channels that the Club or its staff own. The owner of each channel is solely responsible for the videos on it: their privacy settings (public, unlisted or private), who appears in them, permission to record and publish the people in them (including children), and everything else in them. ScoreFrame only sends the video to the channel the owner chose and links to it.

Connecting a channel on the club page lets ScoreFrame create live streams on that channel for the Club's teams; the connection is kept on our servers and is not shown to coaches. The Club can disconnect at any time on the club page or in its Google account settings. YouTube's Terms of Service and Google's Privacy Policy apply to anything on YouTube. The Club is responsible for its channel's settings and for having the right to record and stream its games, including venue rules and music.

A coach can give one game to another phone by QR code (for example a parent filming from the stands). That phone streams to the team's channel and keeps score for that game only, can't change the team, and keeps nothing about it afterwards. The Club is responsible for whom its coaches give games to.

14. AI tools

Some features read schedules, rosters and tournament draws from text, photos or files using AI services provided by third parties. Files are sent to those services only to produce the import and aren't used by us for anything else. Results can be wrong: review imports before relying on them. To keep costs fair, AI features have usage limits.

15. Results from other services

ScoreFrame can import schedules and results from public tournament pages, such as Advanced Event Systems results pages, when the Club chooses to. Those services aren't ours: we don't guarantee they will be available or accurate, and imports can stop working if they change.

16. Acceptable use

The acceptable-use rules in our general Terms of Service apply to the Club and its staff. We may suspend a team or a Club that breaks them, and will tell the director why.

17. Support and availability

We support Clubs directly by email at support@scoreframe.app and aim to fix serious problems quickly. ScoreFrame depends on phones, networks, app stores, YouTube and other services we don't control, so we can't promise it will always be available or error-free.

We keep Club Content with Google Cloud, encrypted at rest and in transit, behind access rules that follow the Club's settings, and our admin tools need a second sign-in step. If we learn that someone got into Club Content they shouldn't have, we'll tell the Club's directors without undue delay.

18. Warranties and liability

ScoreFrame is provided "as is". To the extent the law allows, we disclaim implied warranties, and our total liability to the Club for any claim is limited to the fees the Club paid us in the 12 months before the claim. We aren't liable for indirect or consequential losses, such as lost games, recordings or streams.

19. Indemnity

The Club will defend and compensate us for claims arising from Club Content, from the Club not having permission to record, stream or publish people (including children), or from the Club breaking these terms.

20. Ending this agreement

The Club can stop using club licenses at any time; licenses already bought run to their end date. We can end this agreement with 30 days' notice, or immediately for a serious breach, and will refund unused time if we end it without cause. Section 10 applies to the Club's data afterwards.

21. Changes

We may update these terms. We'll email directors at least 30 days before a material change takes effect. Prices already locked under section 5 aren't affected during their lock.

22. Law and contact

These terms are governed by the laws of the State of Kansas, United States, without regard to conflict-of-law principles, and disputes will be resolved in the state or federal courts located in Kansas.

These Club Terms, with the Terms of Service and Privacy Policy, are the whole agreement about club licenses. If part of them can't be enforced, the rest still applies. Not enforcing a term isn't a waiver. The Club can't transfer this agreement without our written consent; we may transfer it if ScoreFrame is sold or reorganized. We aren't responsible for delays or failures caused by things outside our reasonable control, such as outages of networks, app stores or YouTube. We send notices to the directors' and billing emails on the Club's account.
